Thailand MICE Case Study: A Kid-Friendly Incentive Trip for 400

An unforgettable Phuket incentive for 400 guests
Brief

A repeat client looking to ‘wow’ top performing sales staff with a one-week incentive trip to Phuket.

Challenges

The group included more than 100 children, so all activities and meals needed to appeal to all ages. The clients wanted to incorporate three memorable meals, a full day sightseeing for all 400 guests plus optional activities available every day.

In addition, the trip was confirmed pre-COVID. Unanticipated post-COVID restrictions meant that some planned events and activities had to be amended with fairly short notice.

‘Thanks to our operational capabilities and experience, the client was able to trust that we would execute the two highlight events up to the highest possible standards.’

Awards dinner & concert

The Awards Ceremony was an important evening for the company, as they were honouring their entire team and top sales performers. The theme was ‘Glow’ and EXO designed all décor, staff uniforms and activities in line with this theme, including a special kids ‘Glow Zone’. A famous band from Australia flew in to headline the evening with a concert, adding additional logistics for the production team.

Private, custom cultural show

EXO worked with Siam Niramit on a private, custom cultural show with dinner. As a surprise, the chairman of the company appeared as a character in the opening scenes of the performance. EXO complimented the show by adding fire dancers, a sound and light show and a custom-designed ‘cultural village’ with traditional Thai games.

‘We won this bidding because of our proposals for creative brand placement and our ability to cater to a wide range of participants’

Drone photo

The client wanted a group photo on the beach. EXO took an innovative approach, using a drone to capture the group spelling out the company’s initials.

To ensure a smooth process, EXO measured and outlined the company name in the sand in advance of the group arriving. Our team coordinated for all 400 people- including the chidren-  to line up within these boundaries quickly and efficiently to capture this memorable photo.

Child-friendly activities

The client requested that the entire week be family-friendly. This presented another layer of operational work from EXO, ensuring that kids were kept safe and entertained on excursions and evening meals.

All excursions were vetted for safety, with special attention paid to life jackets and safety equipment for smaller guests. For events, special ‘kid zones’ were set up with activities such as face painting, games and other entertainment booths.
