An annual board meeting for a multi-generational family business complemented by exclusive dining experiences, sightseeing opportunities and a challenging cross-border excursion.
Challenges
The group of 80 guests ranged in age from 2 to 85 years old, so special consideration was given to the planning of meals and excursions. EXO Events arranged 13 guides and 36 cars to be on standby at all times to ensure the utmost flexibility for leisure time and sightseeing excursions.
An important element of the event were themed Family Dinners, which EXO Events coordinated by booking private venues, arranging family-friendly entertainment and serving a range of menu options to appeal to all pallets.

Family farewell dinner
The culmination of the 4-day stay as a farewell dinner at one of Singapore’s most exclusive venues. EXO made sure every moment was carefully orchestrated and memorable, starting with an arrival transfer by traditional Singaporean bumboats. Upon reaching Clifford Pier, guests were greeted by traditional Malay drummers and welcome drinks.
A 7-course meal was served for all attendees, with different offerings on the menu for adults and children. During the dinner, an array of Singaporean heritage performances entertained the guests including Indian bhangra, a Chinese mask-changing dance and live music from a harpist.
Cross-border site visit
The client had offices in neighbouring Malaysia and wanted to incorporate a visit during their Singapore stay. This involved an overland trip with twenty private cars. To expedite the journey and eliminate unnecessary hassle, EXO worked with the border authorities for pre-arranged immigration clearance. The guests did not need to exit the car at the border and were able to quickly complete all formalities to enter and depart Malaysia.

Professional photographer team
As this was a family gathering, the client wanted to capture memories of the events. EXO Events hired a team of professional photographers to document the family activities, including family dinners and sightseeing.
In addition, EXO Events arranged for the photographers to join the visit to the company’s factory in Malaysia and for a special family portrait at the iconic Fullerton Clifford Pier on their last evening in Singapore.
VIP Airport transfers
The group arrived from different countries at different times. EXO coordinated individual VIP transfers, greeting guests at the arrival gate with a buggie, swiftly escorting them through immigration and into a private vehicle while luggage porterage was handled separately.
On departure, 36 cars were used to escort guests to the airport, allowing each family member to travel with their personal luggage in the car.
This high-degree of personalised service saved time and provided guests with a much-appreciated VIP experience.
