Position Overview
Coordination of MICE events and ensuring the data is organized for the Events.
Responsibilities
● Coordinating with a small team of English speaking event arrangers within the MICE department (Meetings, Incentive, Conference, Events).
● Preparing and checking MICE programs and quotations for incentive houses, travel agency and corporate customers, primarily from France and other markets where required.
● Liaising with other team members to ensure completion of high quality proposals in line with strict client deadlines.
● Working closely with our sales offices worldwide to format highly relevant responses using accurate, concise and professional language when responding in English.
● Negotiating with suppliers and hotels in order to achieve the most competitive programs for our clients.
● Managing and organizing each file including; quotation, reservation, supplier and customer payments and communication. Compile accurate contracts in English language for each confirmed group.
● Creating accurate and timely event plans, communicating clearly with those involved both within and outside of the company.
● Helping to ensure that every inspection trip and incentive tour organized by EXO Travel runs smoothly and with 100% satisfaction of the client.
● Working closely with the Operations Department on all aspects of MICE business including briefing, planning and delivery.
● Assisting in managing events when clients are in-house including pre-inspection and quality control.
● Assisting in updating and improvement of the product/cost database. Ensuring that all bookings are correctly entered into the Tour plan booking management system in a timely and accurate manner.
Qualifications
● Bachelor’s Degree in Tourism, Hospitality or other related is preferred
● High level of fluency in both spoken and written English language
● Previous experience in the travel industry or MICE fields is preferred
● Passionate about travel, and able to translate this passion into compelling, creative and well
written client proposals

● Hands-on experience with the ability to work as part of a team
● Excellent communication and negotiation skills
● High degree of customer service and satisfaction with an eye on details and presentation
● Strong organizational skills, ability to work under pressure and to prioritize tasks
● Good computer skills (MS Office; Travel related software)
