about the role

Location: Vietnam

Based in Hanoi and working with an experienced team, your mission will be to book all services from North to South for adventure tours but also to source out and work closely with guides, update quotation in our internal software if needed and prepare all documents and necessary material to run the tours. Possibility to get training to be progressively involved in Sales.

role and responsibilities


  • Based on adventure programs (soft adventure, trekking, biking tour) book services for all Vietnam and update all information in our internal software. 
  • Cross check carefully that all services are confirmed and that services booked are matching with the program.   
  • Reconfirm bookings with/for overseas agents.
  • Prepare all documents needed and materiel to allow the guide to run the tour properly and make sure they are accurate that no information is missing and delivered on time
  • Issue invoices for bookings and assist accounting department with regards to payment.
  • Do pre-briefing with guides before tours start to inform about client special requests/share information about clients 
  • Communicate with tour guides while on tour and if needed discuss with clients (depending on experience) to identify and solve issues that may occur, with the help of your manager, if needed. Liaise with the sales department and manager to report any issue. 
  • Take actions to reorganize services in case of flight, cruise cancellation.
  • Post-tour debriefing with the guides and written or verbal report to give to the Manager in case some services need/can be improved.
  • Update of our internal software and collection of all documents required by the accounting department. 
  • Checking of guide feedback on our internal web regularly.
  • If interested, the possibility to participate to the sourcing and recruitment of new guides but also to product training for guides, involvement in the Sustainability team and/or product researches. 
  • Ensure EXO standards and Inbound process are rightly followed.
  • Ensure inquiries and complaints are handled within 24 hours and comply with internal standards 
  • Maintain and develop a good partnership and relationship with all kinds of suppliers and solve problem with suppliers if any
  • Ensure all operations happen in a timely and correct manner


  • College or University Degree in tourism, hospitality or business. 
  • At least 01 year of experience in a similar position.


  • Good command of written and spoken English. Other languages is a plus. 
  • Good and client oriented attitude, able to build strong relationships with guides and suppliers and to work in team.
  • Responsible and careful.
  • Motivated, hardworking and willing to learn. 
  • Pro-active attitude and good organizational skills.
  • Ability to work under pressure and timeline.
  • Good computer skills (word, excel, outlook). Tourplan knowledge is a plus.
  • Good problem solving skills are a plus.
